The Sales and Research Coordinator works within established Sales Department guidelines to maximize station revenue opportunities from an order entry, traffic, research and accounting perspective. The Sales and Research Coordinator is also responsible for performing all clerical functions required by department personnel as needed. This position reports to the General Sales Manager and Local Sales Manager.
Daily interaction with Account Executives, Sales Management and, if applicable, existing agency and direct client business; includes maintenance of client schedules on television and online, regular tracking of client audience delivery using ratings subscription services, developing presentations, merchandising the station and generally providing a high level of customer service.
Conduct research on request and maintain a general awareness of industry trends, formats, talent and competitive environment. Examine current trends and market conditions to prepare packages describing the sales potential of particular station products or initiatives. Familiarize with system tools to generate periodic revenue, inventory, viewership and other reports as required. Assists Account Executives and Sales Management with national and/or local business in maintenance of contracts, order input, make goods, and overall service.
Manage a variety of routine and non-routine client requests and tasks from Account Executives and Station Management. Effectively collaborate with the Sales Team and other internal departments to complete daily tasks. Train new Account Executives on the usage of traffic, media buying, posting and forecasting software for radio, TV and digital properties. Assist in the creation and implementation of continual educational forums for users to attend to advance skills with existing software and especially in communication of any newly released functionality or process/procedure changes needed.
Review and process orders to ensure that all necessary paperwork is submitted accordingly for approval; assess order information, obtain proper updates from necessary parties, and communicate with necessary parties to ensure order details and documentation is updated and entered in the system appropriately.
Partner with Finance and Credit teams to ensure that clients demonstrate appropriate credit levels and ensure that signed contracts are complete in full detail.
Coordinate with Billing to ensure campaigns are appropriately billed.
Work with Traffic team to ensure correct application of client copy for campaigns which may include correct distribution of Traffic Instructions and client spot uploads as needed.
Coordinate Production services through internal production team to ensure on time start for campaigns.
